About the Position

The Front Desk Receptionist role is often the first person our constituents (clients, students, parents, vendors) speak with, both in-person as well as over the phone.  This position has great responsibility in providing constituents with a positive and productive impression of Scholarship America. While our site is restricted to only essential personnel, this position will be required to work onsite following social distance protocol per COVID-19 best practices during our core hours of Monday – Friday, 8:00 am – 4:30 pm.

Essential Job Functions:

  • Timely and efficiently answer all incoming calls and route them to the appropriate individuals using a switchboard phone system
  • Transfer voicemail messages left at switchboard to the proper extension within the organization
  • Greet and welcome visitors and vendors and follow the organization’s building access policy
  • Provide general information about the organization to callers and direct them to the company website as necessary
  • Ensure scholarship program updates are updated in the switchboard database
  • Keep the front desk and front entry way presentable at all times
  • May receive general feedback from internal staff or external constituents that requires escalation and follow up.  This position will document the information and ensure the proper person receives the information for follow up
  • Conduct general administrative tasks, when time allows
  • Provide training on the switchboard phone system to back-up personnel
  • Transfer main line fax communications to appropriate internal contact

 Minimum Requirements:

  • Strong customer service orientation and interpersonal skills where ability has been demonstrated to work efficiently, effectively and cooperatively with other people
  • Highly organized, strong attention to detail in order to produce the highest quality work, including follow up and follow through
  • Ability to communicate, listen to and understand information and ideas presented
  • Ability to analyze information and evaluating results to choose the best solution and solve problems
  • Strong command of the English language, with the ability to communicate both verbally and in writing, including grammar, spelling and punctuation
  • Proficiency using the MS Office Suite primarily Outlook, Word, and Excel
  • Regular & timely attendance to support business & client needs

Preferred Requirements:

  • Experience with Cloud-based phone system
  • One to three years related experience as a front desk representative
  • Two year degree in business or related field of study
