Advancement Services Administrator

Position Summary/Purpose:

The Advancement Services Administrator: assists with the development and design of effective systems, collection of donor information, and data management systems, to ensure accurate and effective gift processing and recordkeeping. Conducts donor research and information gathering. Develops custom reports and maintains accurate annual, monthly and special reports and statistics to ensure effective monitoring and reporting of Advancement success. May be engaged in other administrative functions as assigned.

This description covers the primary purpose and principal duties of the job.  It is not intended to give all details or a step-by-step account of the way each procedure or task is performed and is subject to change as necessary.

  • Collaborates in the design and administration of data management systems within Raisers Edge, including timely and accurate gift processing, production of receipts and pledge reminders. Works with appropriate staff to ensure tracking and reporting of event detail.

  • Adds, updates, corrects and maintains benefactor and constituent information. Works closely with advancement staff to administer systems supporting effective benefactor interaction, accuracy in benefactor records, e.g., queries, pledge listings, etc.
  • Coordinates reconciliation of gift totals with the finance department.
  • Establishes and maintains cohesive and coordinated gift processing records between regional and national offices.
  • Generates accurate reports, queries, exports and mailing lists as needed for the Advancement Department and as requested by other Departments.
  • Creates customized crystal reports for specialized Advancement reports.
  • Provides Raisers Edge troubleshooting and training to other staff, as requested and needed.
  • Conducts prospect research on individual, corporate and foundation prospects; prepares comprehensive reports and briefings based upon research findings.
  • Works with all advancement staff to develop a comprehensive and consistent system of donor ratings and assignment for moves management of key prospects and donors.
  • Provides administrative support to the Vice President, Advancement and other department team members as needed.

Additional Job Functions:

  • Performs miscellaneous special projects as assigned by the Vice President for Advancement, National Advancement Director or others
  • Performs some administrative work for advancement staff, which may include, but is not limited to, travel arrangements for donor visits and conferences, briefings, etc.
  • Adheres to Scholarship America policies and procedures
  • Membership and participation in the Association of Professional Researchers for Advancement (APRA) and other professional organizations as deemed appropriate.
  • Keeps current on Raisers Edge/Blackbaud updates and training as well as other database, report writing and research software and tools.

Qualifications:
Minimum requirements in terms of educational background work experience, licenses/certifications or other knowledge, skills and abilities.

  • Bachelor’s degree OR three years direct experience with Raisers Edge or other major database software.
  • Strong computer skills with proficiency in MS Office and desire to learn new software programs as needed.
  • Prior benefactor data management and campaign activities experience.
